Document check #
- Certificate of conformity present, and the category, variant and version match the ordered configuration.
- Invoice VIN identical to the certificate VIN, character for character.
- Packing list consistent with the invoice and with the physical shipment.
- EU responsible person details included in the file, not only on a web page.
Vehicle check #
| Item | What is compared | Why it fails registration |
|---|---|---|
| VIN | Stamped VIN against certificate field 1, including the WMI prefix | A prefix that does not match the approval means the vehicle is not the approved type |
| Statutory plate | Manufacturer name on the plate against the certificate | A private-label plate that does not match is refused |
| Tyres | Fitted sizes against the certificate list | Substituted sizes are a common and preventable failure |
| Seating | Number of belts and seats against the certified seat count | One extra seat invalidates the category in some markets |
| Body style | Open or enclosed against the approved type | An enclosed body ordered against an open-body approval |
| Mass | Configuration mass against the declared value | Battery chemistry changes the number |
Photographic evidence #
Every unit is photographed at the points a registration office inspects: VIN stamping, statutory plate, tyre sidewall, seat configuration, and the four sides of the vehicle. The photographs are filed against the VIN and sent with the documents, so a query can be answered without waiting for a factory reply.
What we cannot inspect We are a supplier, not the manufacturer. We cannot issue a certificate, change a certified value, or certify a vehicle the approval does not cover. When a request falls outside the approved type, the answer is no — and it is better to hear that before the order than at the port.
If something is wrong on arrival #
- Send photographs and the VIN. We identify which manufacturing system the vehicle came from.
- For a parts issue, we quote the part against that system and ship it; consumables and body panels are usually in stock with the manufacturer.
- For a document issue, we correct the file with the certificate holder and reissue the paperwork.
- For a damage claim, the carrier process runs alongside; photographs taken at unloading decide the outcome.
